Inventory Importer - Edit Inventory

Overview

With the Bindo Inventory Import tool you can utilize a spreadsheet to make bulk updates to your inventory.  This can be used to make mass changes to price, quantity, product name, and more. For a sample list of fields that you may edit using the import tool refer to the main Inventory Importer article.  Imports must be done on the Bindo Dashboard on the Inventory page.  

Preparing the Inventory Template

  • The minimum number of required columns for an inventory edit import template is three.  All import templates must have an "action" and "bpid" column, and additional columns depending on the field(s) that you are updating. The "action" tells the importer you're going to be editing product fields and "bpid" (Bindo Product ID) tells Bindo which product to edit.
  • To get "bpid", please go to Dashboard > Reports > Inventory Report, you'll find out the "bpid" of each product.
  • To edit price only, your spreadsheet will contain three columns: "action", "bpid", and "standard_price".  The first two rows of your spreadsheet should look like this:
  • To edit additional columns such as name, quantity, and price, you'd have to include additional column headers.  The first two rows of a spreadsheet for editing those fields should look like this:
  • In these examples the existing values for bpid "tjtx8o6w4a" will get overwritten by the new values provided in the spreadsheet.

Editing Cost or Supplier Specific Fields

Supplier, cost, and other supplier specific fields (Supplier Product ID, Reorder Trigger Point, and Reorder Amount) are unique in that you may associate multiple with a single product.  For this reason some additional fields are required to edit supplier, cost or other supplier specific fields.  This is required because you must tell the importer if you are trying to edit data for an existing supplier, or if you are trying to add data for a new supplier.  The relevant fields that are used for this are:

  • new_supplier: "Y" or "N".  This field is meant to indicate if the supplier is a new supplier for the specific product, not a new supplier in the system.
  • supplier_id: numeric identifier for each supplier in your store.  To locate the supplier ID for a specific supplier visit the Bindo Dashboard, navigate to the Suppliers page, click on a Supplier Name and copy the last number in the URL.  For example if the URL is https://dashboard.bindo.com/710/suppliers/38763 then the supplier ID is 38763.

Examples:

  • Add supplier and cost to existing product with supplier that does not yet exist in Bindo.  The supplier will be created and added as a new supplier on this item.  If the item already has a supplier, this supplier will be added as an additional one attached to the item.
  • Add supplier and cost to existing product with supplier that already exists in Bindo.  This is similar to example 1 above in that the same change is being made to the product, but in this case we are using a supplier that already exists in our store.
  • Overwrite cost and reorder trigger point on existing product.  The item is already associated with supplier ID 217412 and the cost and reorder trigger point for that supplier will change.

Getting the bpid

The bpid can be obtained by running an Inventory Report (via the Bindo Dashboard or directly in the Bindo App).  To run an Inventory Report:

  1. Log into the Dashboard
  2. Click on Reports on the left side menu
  3. Click on Inventory Report
  4. Once the report loads, click on the CSV or Excel (depending on your preferred spreadsheet format) button to download.
  • Copy the bpid value for the products you wish to edit and paste into your import template (or you may convert the exported file into the template you use import and simply keep the bpid values on that sheet). Then add values into other columns which you are editing.

The file will need to be saved as a CSV in UTF-8 format. Please note that your options for file and format may vary depending on the spreadsheet software you are using.

If you do not see the options to save in UTF-8, you can upload the CSV to Google Sheets and download it as a CSV from there. This will put the CSV in the correct format.

  • Then upload the spreadsheet into the Bindo Dashboard.  On the Inventory page click on the "Import Inventory" button at the bottom right corner of the screen, click on "Choose File" and locate your spreadsheet.  After you select your file you'll see a preview of it populate on the screen.  If all data looks correct click on the "Submit" button to confirm your import.
